These Booking Terms and Conditions apply to all safari and tour reservations made with Sparwild Safaris. By confirming a booking, you agree to the terms outlined below in addition to our general Terms & Conditions and Privacy Policy.

1. Booking Confirmation and Payments

To confirm your safari or tour, a deposit is required at the time of booking. The exact deposit amount depends on the package and arrangements involved and is typically 30–50% of the total tour cost.

The remaining balance must be paid as stated in your booking confirmation, either before the tour begins or on the day of departure.

We accept secure payments via Visa, MasterCard, American Express, bank transfer, and approved local payment methods. Payments may be made online or at our Ruiru office. There are no hidden fees or extra charges.

All official Sparwild Safaris bank accounts are based in Nairobi, Kenya. We do not request or accept payments to accounts outside Kenya. Any such requests should be treated as fraudulent and reported to us immediately.

A booking is considered confirmed only after payment has been received and acknowledged by Sparwild Safaris.

2. Payment Options

Depending on the nature of your trip, one of the following payment structures may apply:

a) Deposit + Balance on Arrival

  • Pay a 30–50% deposit at booking confirmation.
  • Settle the remaining balance on arrival, strictly via Sparwild Safaris bank transfer.

b) Full Payment Upfront

  • Certain tours, including flight‑inclusive itineraries or bookings involving non‑refundable lodges, may require 100% prepayment.
  • You will be informed if full payment is required before confirming your booking.

3. Cancellation Policies

Cancellation terms vary depending on the type of safari, accommodation, and season. The applicable policy will be clearly stated in your booking confirmation.

a) Flexible Cancellation Policy

  • More than 14 days before travel: 80% refund of total tour cost
  • 7–13 days before travel: 50% refund
  • Less than 7 days before travel or no‑show: No refund

b) Moderate Cancellation Policy

(Applies to most mid‑range safaris and lodge bookings)

  • More than 30 days before travel: 75% refund
  • 15–29 days before travel: 50% refund
  • Less than 15 days before travel or no‑show: No refund

c) Strict Cancellation Policy

(Applies to peak‑season travel, flight‑in safaris, or non‑refundable lodge bookings)

  • Once booking is confirmed: 100% cancellation fee
  • No refunds for cancellations or no‑shows

4. Changes to Bookings

Requests to change travel dates or itineraries will be accommodated where possible. All changes are subject to availability and may incur additional charges imposed by lodges, airlines, transport providers, or park authorities.

5. No‑Show Policy

Failure to arrive on the scheduled departure date without prior notice is considered a no‑show and is non‑refundable.

6. Refunds

Where applicable, refunds will be processed within 7–14 business days using the original payment method. Bank charges, transaction fees, or third‑party processing fees may be deducted.

7. Important Notes

  • Cancellation and refund terms may vary based on third‑party service providers such as lodges, airlines, and transport operators.
  • In all cases, the terms stated in your individual booking confirmation shall take precedence over these general booking terms.
  • We strongly recommend purchasing comprehensive travel insurance to cover unforeseen cancellations, medical emergencies, or travel disruptions.
